Home care software for private-pay agencies · Early access

Every visit, on the record.

A caregiver app for iPhone and Android, and one screen for the office. Caregivers clock in, work the Plan of Care and get the client’s signature, even with no signal. By the time they leave, the visit is documented and the hours are on the timesheet.

  • iPhone, Android and the browser
  • Works with no signal
  • Set up in one sitting

How a visit works

Four steps, and the paperwork is done.

Follow Maria’s Tuesday morning with Alma. Everything else in AideBook either feeds these four screens or reads from them.

What’s in it

Built for the caregiver’s phone and the owner’s desk.

Caregivers only see their own shifts, clients and hours. Owners and admins see everything that needs them, on one screen.

  1. For the office

Everything that needs you, on one screen.

Who’s on shift, which visits need review and how the week is going. Plus clients, Plans of Care, scheduling and your duty catalog, with a light version of it all in the phone app.

Read more about everything that needs you, on one screen →
  2. For caregivers

    Works with no signal.

A native app for iPhone and Android, and the same app in any phone’s browser. Clock-ins, notes and signatures save on the phone and sync the moment signal comes back.

  3. Visit verification

    Six checks on every visit.

Every visit is checked the moment it closes. Your weekly review is only the visits that tripped one, and their hours wait until you approve them.

Read more about six checks on every visit →
  4. Timesheets

    Timesheets that add themselves up.

Hours come straight from clocked visits, with overtime past 40 split out across every client. Nobody submits anything.

  5. Training

In-service training, out of the binder.

Write the material, attach an exam and see every score. Caregivers take it on the same phone they clock in with, and you’ll know if they left the page mid-exam.

  6. Paperwork

    Paper-form PDFs, without the paper.

Timesheets and aide notes print in the layout families and insurers know. Every correction needs a reason and stays on the record.

Questions

What owners ask first.

Something we didn’t cover? Bring it to the call, along with one caregiver’s week.

No. It’s built for private-pay and long-term-care-insurance clients. If you bill Medicaid for personal care, your state’s EVV system still applies. AideBook is the layer between “a shift happened” and “hours are correct on payroll”: scheduling, visit documentation, e-signature, compliance checks and training. No claims, no eligibility checks, no clinical charting.

Yes. AideBook has a native app for iPhone and Android, rolling out to early-access agencies now, and the same caregiver screens work in any phone’s web browser. The phone app is for caregivers; owners and admins run the office from the web app, on a computer or a phone’s browser.

No. The app doesn’t ask for location access at all. Caregivers clock in from today’s scheduled shift, so there’s no geofence to misfire and no punch to fix. Proof of the visit comes from the completed care plan and the client’s signature, or the recorded reason they couldn’t sign.

The caregiver’s schedule, clients and care plans are saved on the phone. Clock-ins, notes and signatures are stored on the device and send the moment a connection returns, so a half-finished note is never lost. If clock times had to be taken from the phone’s own clock, the visit is marked “Recorded offline” for the office to check.

The caregiver picks a reason: the client was unable, declined, no representative was present, or a device problem. The visit is marked “Unsigned, reason given” so you can check it before the hours count.

An admin corrects the visit from its record and gives a reason. The change is added to the visit’s corrections trail rather than overwriting anything, and if the client had already signed, the visit is flagged “Changed after signing.”

Yes. Overtime past 40 hours a week is calculated per caregiver across all of their clients, holiday hours are separated out, and shifts can be hourly, live-in, or continuous.

Yes. Weekly timesheets and aide notes export as PDFs in the familiar paper-form layout, with your agency name and the client’s policy number on the header. Caregivers can share them from the app too.

No. Hours are computed from clocked visits and are live for both the caregiver and the office. Flagged visits are held back until an admin approves them.

A new account gets a four-step setup checklist: add a client, publish their Plan of Care, invite a caregiver, and record the first visit. An owner-operator can do it in one sitting, without an implementation project.

Built inside a working home care agency

See your own week in AideBook.

AideBook began as one agency’s replacement for its paper caregiver notes. Bring one caregiver’s week, and on a 20-minute call we’ll set it up live, from clock-in to timesheet.
